Terms & Conditions

Main performances will be held in a big covered hall , especially decorated for the festival. All basic services are provided, such as highly professional stage light, spotlights, amplified sound system and dressing rooms.
Grandstand holds 600 spectators.

Each group is obliged to perform with live music and in traditional clothes.
Performances : groups should prepare a 20 to 25 minutes performance. Each group will perform at every performance. Because of the repeat audience on 2 nights, performance material for these 2 nights should be varied as much as possible.
During the festival a holy Mass in the park of Vosselaar will be held. Each group has to attend the holy Mass in traditional costume. During the holy Mass, every group has to sing one song or play one piece of music.

The total number of participants of each group should not be more than 30, including dancers, musicians and director. (No tourists !). In case the group consists of more than 30 persons the expenses for participants above the limit are for the visiting group.
No financial compensation per group or per participant is provided. We prefer groups on a basis of cultural exchange.
Each group is responsible for its own transport.
The organization will cover fuel expenses during the festival for the groups coming by bus starting from the Belgian border. The organization will provide transportation for the groups arriving by plane.
Each group is to arrive on Tuesday 10th of August and leave on Monday 16th of August.
The organization will provide housing and food during the festival. All guests staying with host families.
Normal medical care / first aid will be provided by the organization ( hospitalization for illness or surgical treatment not included ).
Each group will take care of its own insurance.
Groups shouldn‘t make other arrangements during the festival without agreement of the organization committee and should comply exactly with the programme as defined by the organization committee.
The organisation is not responsible for any thefts or losses.

Every group will be provided with 1 or 2 guides, who are fluent in several of the commonly spoken foreign languages : English, French, Spanish and German. They will assist your group during the whole festival.
The hall where 2 performances are held allows participating groups to sell souvenir items to the public. Suggestions as to what to sell are folk art items, handicrafts, records or tapes, items that are native to your culture, etc.
Three times during the festival gifts will be exchanged. Once with the organisation of a performance in a village nearby , once with the Mayor of Vosselaar and once with all the groups participating the festival
During the festival a free outing (city visit) is offered as well as a free day with the host families .
There is a possibility to swim at the location of one of the performances.

The organization reserves the right to broadcast or record the festival performances , partly or entirely without any payments to the visiting group.
For the preparation of the festival the organisation needs following information : * first quality photographs * a description as detailed as possible of the history of the group, the programme, the dances, the costumes and any other information, which may be of interest to the public and will be used for the introductions of the group, or can be included in the press release. * if possible a CD , DVD/video film for promotional purposes
